This policy explains how GROWTRACK BUILDWORKS SDN BHD (“we”, “us”) handles personal data collected through the website growtrack.help and in the course of providing plumbing, drainage, roofing and waterproofing services. We process personal data in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia.
Data we collect
When you submit our contact form, call us, or message us, we may collect your name, email address, phone number, property address, and the description and photographs of the work you are asking about. Our website also records limited technical data — IP address, browser type and pages visited — through standard server logs and, where you consent, cookies.
Why we collect it
- To respond to enquiries and prepare quotations;
- To schedule, perform and document contracted works, including warranty records;
- To invoice for completed works and maintain accounting records required by Malaysian law;
- To improve the website and understand how visitors use it.
Legal basis and consent
We rely on your consent when you submit an enquiry, and on contractual necessity once you engage us for works. You may withdraw consent for non-essential processing at any time by writing to [email protected]; this does not affect processing we must retain for legal, warranty or accounting purposes.
Who we share data with
We do not sell or rent personal data. Data may be shared with: our own employees and sub-contracted tradesmen strictly for performing your job; suppliers where a manufacturer warranty must be registered in your name; and professional advisers or authorities where the law requires it. Building management offices receive only the information they require to grant site access.
Retention
Enquiry data that does not lead to a job is deleted within 12 months. Records of completed works, including photographs and warranty documents, are retained for 7 years to honour warranties and satisfy tax obligations, after which they are securely destroyed.
Security
Personal data is stored on access-controlled systems available only to staff who need it. Paper records are kept at our registered office. While no system is perfectly secure, we take reasonable technical and organisational measures appropriate to the sensitivity of the data we hold.
Your rights
Under the PDPA you may request access to the personal data we hold about you, request correction of inaccurate data, and limit or withdraw consent to processing. Requests should be sent to [email protected] or posted to our registered address below; we respond within 21 days.
